Privacy Policy

Short version: we hold what we need to turn your two-minute note into a newsletter you approve, we pass it only to the services that help us do that, we never sell it, and you can ask us to delete it.

1. Who we are

SayPiece (“we”, “us”) is an invite-only service, run from India, that helps consultants and other experts keep a regular newsletter going. You talk, we research and draft, and nothing is sent until you approve it. This policy explains what personal data we handle and why.

There are two kinds of people whose data we hold. Clients are the people who sign up to use SayPiece. Readers are the people on a client’s newsletter list. For a client’s own account we decide how the data is used. For a client’s readers, the client decides who is on their list and what they are sent, and we handle that data on the client’s behalf and on their instructions.

2. What we collect

From clients:

  • Your name, email address and, if you use WhatsApp with us, your WhatsApp number.
  • If you sign in with Google, the name and email address Google shares with us. We do not receive your Google password.
  • What you give us to do the job: voice recordings and their transcripts, typed notes, your answers to our questions, your business and audience description, writing samples, and your style choices and edits.
  • What we produce for you: research notes with the web pages they came from, drafts and every version of them, approved issues, LinkedIn posts, the results of our quality checks, and a log of what happened (including what each step cost us).
  • A record of each approval: what you approved, and when. We keep this as proof of what was sent in your name.
  • Your newsletter settings: sending domain, sender name, topic preferences, and reminders.

From people who ask for an invite: your name, email address, and whatever you tell us about your newsletter.

Technical data: the basics any website receives (IP address, browser type, the pages requested and the time), a sign-in cookie, and a few product events such as whether a link in a message was opened. We do not use advertising or analytics trackers on this site.

3. Your readers' data

For each person on a client’s list we hold their email address, whether they are subscribed, and what happens to emails we send them:

  • whether an email was delivered, bounced, or marked as spam;
  • estimated opens and clicks. Opens are an estimate only, because some email apps load images automatically, and clicks can be triggered by security scanners;
  • replies they send, and anything they type into the “What should we cover next?” form.

Every email carries an unsubscribe link, and we stop sending to anyone who uses it. A reader who wants their data removed should contact the newsletter’s sender, or contact us and we will pass the request on or act on it. Clients agree to add only people who have chosen to hear from them (see our Terms).

4. How we use it

  • To run the service: transcribe your notes, research, draft, check, and send what you approve.
  • To remind you, through WhatsApp or email, when it is time to record, and to send your topic ideas.
  • To show you how your issues did, and to flag replies that look like enquiries.
  • To keep the service safe and reliable: preventing misuse, fixing faults, and protecting each client’s sender reputation.
  • To manage our relationship with you: invites, support, billing, and telling you about changes to the service.
  • To meet legal obligations.

We do not sell personal data, and we do not use your content to train our own models. Where you accept a suggested change to your writing style, we use it only for your account.

5. Who we share it with

We use other companies to provide the service. They process data for us and only to the extent needed for that purpose. Their own privacy terms also apply to what they handle.

  • Supabase: our database, sign-in and file storage (including voice recordings).
  • Vercel: hosting for the website and application.
  • Anthropic: AI models that research, draft and check your content. Your notes, answers and drafts are sent to them for that.
  • OpenAI: converts voice recordings to text.
  • Resend: sends and receives email, including your newsletter and readers’ replies.
  • A WhatsApp Business messaging provider, and WhatsApp itself: carries the messages and voice notes we exchange with you on WhatsApp.
  • Google: sign-in, if you choose it.

Research means we also open public web pages to check the facts we cite. We share data with authorities only when the law requires it. If SayPiece is ever sold or merged, personal data may move to the new owner under the same commitments.

6. Where data is processed

Our providers run servers in several countries, so your data may be processed outside India, and outside the country you live in. We choose providers that protect data to a reasonable standard, and we rely on their safeguards for transfers.

7. How long we keep it

We keep a client’s content and history while their account is open, so they can see past issues and so the service can avoid repeating itself. Voice recordings and transcripts are kept for the same period.

When you close your account, or ask us to delete something, we delete or anonymise your data promptly, except for the approval record and anything we are required by law to keep. Copies may remain in backups for a short time after deletion. Invite requests that go nowhere are deleted when we no longer need them.

8. Your choices and rights

Depending on where you live (for example under India’s Digital Personal Data Protection Act, 2023, or the GDPR), you can ask us to:

  • tell you what personal data we hold about you and give you a copy;
  • correct data that is wrong or incomplete;
  • delete your data, or stop using it for a purpose;
  • withdraw consent you have given, which does not affect what we did before you withdrew it.

You can stop WhatsApp messages from us by replying STOP, and stop any newsletter by using its unsubscribe link. To use any of these rights, or to raise a complaint, contact us. We will answer within a reasonable time. If you are not satisfied, you may complain to your local data protection authority.

9. Security

All connections to our site use HTTPS. We keep each client’s data separate, restrict access to the people who need it to run the service, and use well-established providers for storage and sending. No system is perfectly secure. If a breach affects your personal data, we will tell you and the authorities as the law requires.

10. Cookies

We use only the cookies needed to keep you signed in and to take you back to the page you were trying to reach after you sign in. We do not use advertising cookies or third-party analytics. If that changes, we will update this page first.

11. Children

SayPiece is for professionals and is not meant for anyone under 18. We do not knowingly collect data from children.

12. Changes to this policy

We may update this policy as the service changes. The date at the top shows when it last changed. If a change matters to how we use your data, we will tell clients directly.

13. Contact

Questions, requests and complaints about privacy: contact us. Please say who you are (a client, or a reader of a particular newsletter) and what you need.
